THE POSITION Douglas County Juvenile Department Full time position available with competitive full-family benefit package.
PERS/OPSRP retirement and availability of deferred compensation retirement savings.
Onsite (Courthouse complex) childcare available at a discounted employee rate through Roseburg Professional Childcare (Fowler St.
location only).
Availability is subject to center waitlist.
This is a bargaining unit position with the Juvenile Union (AFSCME).
Job Summary: This position receives, prepares, proofreads and processes a wide range of general, confidential, judicial and/or criminal legal records, tort claims, contracts, correspondence, affidavits, pleadings, and discovery related materials, both electronically and in paper files and systems; and respond to various inquiries following standard procedures and policies.
Essential Functions: This is not an exhaustive or all-inclusive list of responsibilities, skills, duties or functions associated with the job.
Perform routine legal office clerical support and technical assistance for trial preparation and adjudication including setting up, prioritizing, monitoring and tracking court cases, claims, discovery demands, projects, programs, and contracts and advising supervisor, or other assigned professional of required actions.
Type a variety of letters, forms, memos, and other legal documents from verbal, transcribed and/or written instructions; take dictation or transcribe from electronic records or tapes; draft basic contract forms and other routine legal documents in accordance with court rules and procedures for review by attorney or other professional, verifying and correcting grammar, format, and composition as required.
Review accuracy and completeness of routine forms, records, entries, indictments, complaints, petitions, orders, contracts, agreements, and other incoming legal documents by compiling information from various sources (i.
e.
, other state courts, motor vehicle departments, law enforcement agencies), organizing documents, and researching discrepancies when needed.
Enter information into various computer databases for internal and external records and reports.
Perform court-ordered expunction of records.
Review calendaring to remain within time limits; process and file completed documents with appropriate court; prepare subpoenas and notify individuals as needed.
Respond to incoming telephone calls and in-person inquiries from various sources, including claimants, victims, witnesses, general public, police and probation officers and other court staff; applying knowledge of departmental regulations and procedures when answering public inquiries and providing information.
Receive, receipt, and record payments or other revenue received in department; process and disburse restitution payments.
Maintain trial calendar, docket and/or other related tickler system calendars, spreadsheets, and/or tracking/notification system to eliminate missed deadlines (examples include: case progress, statutory time limitations, discovery due dates, and public records deadlines); schedule and confirm appointments, including but not limited to, interviews, meetings, appointments, supervisions, depositions, conferences, medical exams, expert witnesses, commission and/or committee hearings, etc.
POSITION REQUIREMENTS SKILLS/QUALIFICATIONS: This is not an exhaustive or all-inclusive list of responsibilities, skills, duties or functions associated with the job.
Any equivalent combination of education and experience, which demonstrates the knowledge, skills and abilities required, will be considered.
however, the following is preferred: Three years clerical experience of a progressively responsible nature, two years of which must have been in a public or private law office Knowledge of: Reasonable and adequate knowledge of standard legal office practices, procedures, documents, terminology, business English, grammar, spelling, basic arithmetic, composition, recordkeeping, filing and database entry to perform the required tasks; knowledge of State and Federal Court Rules.
Skill in: computer systems and computer applications related to the job with advanced keyboarding skills; taking and transcribing dictation, use of modern office equipment, telephone, and computer software systems.
Ability to: communicate effectively in oral and written forms, maintain confidentiality, accurately perform basic mathematical operations, plan and prioritize work and make relevant decisions using sound judgment; establish and maintain records, reports, calendars and statistical data; courteously meet and deal effectively with employees, clients, families, other agencies, court personnel, attorneys, law enforcement officials, commissions, contractors, vendors and the general public; and maintain confidentiality at all times.
Required At time of appointment, must possess valid Oregon drivers license Regular and consistent attendance Position requires infrequent driving.
Finalist will be required to provide a driving history that meets the Douglas County Driver Policy as part of contingent offer of employment.
SCREENING & EVALUATION While not part of initial applicant screening, the finalist for this position may be required to pass a criminal history background check as part of a contingent offer of employment.
Conviction of a crime may not necessarily disqualify an individual from employment.
